We are guests in your home — here is how we behave

Privacy Policy

Designing a home means we learn things about you that almost nobody else knows — the room your teenager hides in, what you earn, where you keep the spare key, what your bedroom looks like at seven in the morning. This page is our account of what we hold, who ever sees it, and how you take it back.

In four lines

01

Your home is not our advertisement

We photograph your finished project only with written permission, and we will never publish your address or your family's faces without asking first.

02

Vendors get the minimum

The carpenter receives measurements and a delivery window. He does not receive your income, your floor plan archive or your family's routine.

03

We do not sell leads

Your enquiry is not merchandise. We do not pass your details to modular-kitchen brands, furniture retailers or lead aggregators.

04

You can ask us to forget

Photographs, measurements, drawings and notes — all of it can be withdrawn from publication and deleted on request.

Who we are

Optiimus Prime Interiors (“Optiimus Prime Interiors”, “we”, “us”, “our”) is the interior design practice of Optiimus Prime, working out of Hyderabad, Telangana. We design and execute residential and commercial interiors — full homes, single rooms, renovations and design consultations.

Under the Digital Personal Data Protection Act, 2023 (“DPDP Act”) we are the Data Fiduciary for the personal data described here. You are the Data Principal.

What this policy covers

Everything on optiimusprime.com/interiors — the enquiry form, the consultation booking, the portfolio pages — and everything that follows from it: the discovery conversations, the site visits, the measurement survey, the design and execution phases, and the handover.

Our real estate advisory is a different business with a different data footprint, and keeps its own policy. If you are buying or selling property with us, read the Real Estate Privacy Policy instead.

Submitting an enquiry, booking a consultation, or letting our team into your home for a survey means you consent to what is described here. Anything more sensitive — photographing your interiors, publishing the project, sharing your address with a delivery partner — we ask for separately, and you can say no without losing the design service you are paying for.

03

What you share with us

Contact and identity

Your name, phone number, email address, the property address where the work will happen, and — where an invoice, a society NOC or a works permit requires it — an identity document and GST or PAN details.

The project brief

Property type (full home, single room, renovation, consultation), carpet area, floor and building details, possession status, your budget range, your timeline, and the scope you want covered.

The discovery notes

This is the part unique to our practice, and the part we treat most carefully. Our process asks how your household actually lives — who wakes first, where your parents need a railing, which corner your child claims, whether anyone in the house reads in bed, how you cook and how often you host. We also note accessibility and mobility requirements where you tell us about them, because a home that ignores them is a failed design.

These notes are working material for your design. They are visible only to the designers on your project, they are never shared with vendors or contractors, and they are never used for marketing or profiling.

Drawings and property documents

Builder floor plans, structural and MEP drawings, society rules and fit-out guidelines, handover documents and any approvals you pass to us so that we can design within them.

Commercial records

Quotations, revisions, signed scope documents, milestone payment records, invoices, receipts, snag lists, warranty registrations and handover sign-offs.

Communication records

Emails, WhatsApp and Telegram messages, shared project-group history, call notes, and approvals you give on drawings and material samples.

Website usage

IP address, device and browser type, pages viewed and referring page, generated automatically by our hosting infrastructure when you browse the site.

04

Inside your home

A measurement survey is the most intrusive thing we will ever ask of you. Our team walks through every room with a laser and a camera, and what they capture is a record of how your family lives. We handle it accordingly.

What the survey captures

  • Room-by-room dimensions, ceiling heights, beam and duct positions, window and door openings, and the direction light enters through the day.
  • Positions of existing electrical points, plumbing lines, gas lines and air-conditioning provisions.
  • Reference photographs and video walkthroughs of each room in its current state, including whatever furniture, belongings and personal effects happen to be there.
  • Where a project needs it, a 3D scan or point-cloud of the space.

Our rules for that material

  • Survey photographs are working files. They exist so our designers can check a detail without troubling you for another visit. They are not portfolio material and are never published.
  • We ask you before we photograph, and we will skip any room, cupboard or object you would rather we did not record. Nobody has to explain why.
  • Our surveyors do not photograph documents, valuables, safes, prescriptions, or anything visibly personal unless the design specifically needs that measurement.
  • Where family members are present, we frame around them. If someone appears in a frame incidentally, it stays an internal file and is not published.
  • Access to survey files is restricted to the design and execution team assigned to your project.

If our team is ever in your home and you want the camera put away, say so — to the surveyor, on the project group, or to us afterwards. We will delete the frames in question and confirm that it is done.

05

How we collect it

  • From you directly — the enquiry form on this site, consultation bookings, WhatsApp and Telegram messages, email, phone calls, studio visits and the conversations that run through the project.
  • At your property — measurement surveys, site inspections during execution, progress photographs and snagging visits.
  • Automatically — standard access logs generated by our hosting infrastructure when your browser requests a page.
  • From our real estate division — only where you have asked to be introduced after buying a property through us. A property file does not become an interiors file on its own.
  • From a referral — where an existing client, an architect or a developer passes on your enquiry with your knowledge.
06

Why we use it

  • To design — develop concepts, layouts, elevations, material palettes, lighting plans and 3D views that fit your space and your household.
  • To quote and contract — prepare estimates, scope documents and payment schedules, and issue invoices and receipts.
  • To execute — brief carpenters, fabricators, electricians, painters and suppliers, arrange site access and society permissions, schedule deliveries and installation, and manage snagging and handover.
  • To support you afterwards — honour warranties, register product warranties with manufacturers, and answer maintenance questions years later, which is why we archive drawings.
  • To run the practice — accounting, tax filings, statutory records and insurance.
  • To publish, with permission — portfolio and social media, covered in section 08.
  • To meet legal obligations — respond to a lawful demand from a court, tax authority or other competent authority, and to establish or defend a legal claim.
07

Who else sees it

Interiors is a trade of many hands. Each one receives only the fragment its job requires.

Craftspeople, fabricators and site contractors

Carpenters, modular-kitchen fabricators, stone and tile suppliers, false ceiling and painting teams, electricians and plumbers receive the drawings, measurements and finish specifications for their portion of work, plus the site address and a coordinating phone number. They do not receive your budget, your commercial terms, your discovery notes or your other documents. Each is bound to confidentiality and to site-conduct rules.

Delivery and installation partners

Logistics providers and installation crews receive your delivery address, a contact number and a time window. Nothing else.

Your building and society

Where fit-out approval, a works permit, lift usage or workman entry passes are required, we share what the association or facility manager asks for — typically the flat number, the scope of work, the schedule, and worker identity details.

Professional and financial service providers

Our accountants, auditors, bankers, insurers and, where necessary, legal advisers, in the ordinary course of running a business.

Technology providers

  • Website hosting and content-delivery providers serving optiimusprime.com and keeping access logs.
  • Sanity, the content management system holding our published portfolio, materials and design content — not your project file.
  • Cloud storage and design software used to hold drawings, renders and project documents.
  • WhatsApp and Telegram, where you choose to communicate with us there. Those messages are also subject to the app's own privacy policy and encryption model, which we do not control.

We do not sell or rent your data. Optiimus Prime Interiors does not pass your enquiry to furniture brands, appliance dealers, modular-kitchen companies or lead aggregators, and does not permit third-party advertising networks to profile you through this website.

08

Publishing your home

A finished project is the best thing a design practice can show. It is also a photograph of the inside of someone’s house. We treat publication as a favour you grant us, not a right we earned by doing the work.

We ask separately, in writing

Your design contract does not silently license us to publish. Before a professional shoot, we request written permission that states where the images will appear — our portfolio, Instagram, print or press — and what will be visible.

What we withhold by default

  • Your full address, flat number and building name. Projects are captioned by locality at most — 'a three-bedroom in Kokapet' rather than a findable address.
  • Faces of you, your family and your staff, and photographs of children, unless you specifically agree to them.
  • Framed family photographs, certificates, name plates, religious or personal items, and anything else that identifies the household. These are removed or styled out before a shoot.
  • Your budget and commercial terms. We do not publish what a project cost.

You can change your mind

Permission is revocable. Write to us and we will take the images down from our website and our social channels, and stop using them in new material, within a reasonable period. Where images have already gone into print, a magazine feature or a third party’s channel, we will ask them to remove it, though we cannot guarantee what someone else does with something already published.

Progress photographs taken by our site team for quality control are internal records. They are not published, and they are not shared with anyone outside your project team.

09

Payments & billing

We invoice against milestones. We keep the records a business must keep — invoices, receipts, the bank reference of a transfer, and GST filings where applicable.

  • We do not store card numbers, CVVs, UPI PINs, net-banking credentials or OTPs. No one from Optiimus Prime Interiors will ever ask for them.
  • Payments are made to our declared business account, through details set out on the invoice itself. If you receive a message asking you to pay to a different account, do not act on it — call us on our published number first.
  • Financial records are retained for the period tax and accounting law requires, described in section 12.
10

WhatsApp & project groups

Most of our projects run through a shared WhatsApp group — you, your designer, the project manager, and sometimes a site supervisor. It is the fastest way to approve a laminate at nine at night, and it is worth being clear about what it means.

  • Everyone in the group can see every message, image and phone number in it. Tell us if you would rather a family member or a vendor were not added, or were removed.
  • Group history sits on your device and on the devices of everyone else in the group. We cannot delete a message from someone else's phone.
  • We close and archive the project group after handover and the warranty follow-up period, and remove vendors from it as soon as their scope ends.
  • For anything sensitive — a document, a payment detail, a complaint — write to us on email instead, so it lands with us alone.

Marketing messages are separate from project communication. We send new work, journal pieces and studio news only where you have agreed to receive them, and every message carries a way to stop. Reply STOP, use the unsubscribe link, or tell your designer — we action it within 7 working days. Opting out of marketing never affects your project.

11

Cookies & website data

As of the effective date of this policy:

  • We do not run third-party advertising pixels, retargeting tags or cross-site behavioural advertising on optiimusprime.com.
  • Cookies and equivalent browser storage are used only where a feature needs them, such as remembering an interface preference during your visit.
  • Our hosting infrastructure keeps standard access logs (IP address, timestamp, page requested, user agent) for security and diagnostics, retained briefly and not used to build a marketing profile of you.
  • Typefaces and some imagery are served from third-party content delivery networks, which receive your IP address as a technical necessity of delivering that file.

If we introduce analytics or advertising technology later, we will update this section before it goes live and, where the law requires, ask for your consent on the site. You can block or clear cookies in your browser at any time; the site will still work.

12

How long we keep it

  • Enquiries that did not become projects — up to 18 months from your last message, because renovation plans are routinely postponed and revived. Ask us sooner and we delete sooner.
  • Survey photographs and video — deleted within 12 months of handover, or earlier on request, except for the frames needed to support a live warranty claim.
  • Drawings and technical documentation — archived for 7 years after handover. This is deliberate: when a leak appears behind a wardrobe in year five, the drawing that shows where the plumbing runs is what saves your floor.
  • Financial and contractual records — retained for 8 years to meet tax, GST, accounting and limitation-period requirements.
  • Published portfolio images — kept for as long as your permission stands, and removed when you withdraw it.
  • Marketing lists — removed within 7 working days of you opting out.
  • Server and access logs — retained for a short technical window, then overwritten.

Where a dispute, a warranty claim or a legal obligation requires longer retention, we keep only what that requires and delete the rest.

13

How we protect it

  • Project files, drawings and survey media are held in access-controlled cloud storage, opened only to the team assigned to your project.
  • This website is served over HTTPS, so what you submit through a form is encrypted in transit.
  • Designers, site staff, vendors and craftspeople who handle project information are bound by confidentiality obligations, and access is revoked when their scope or employment ends.
  • Devices used to hold client material are password-protected, and we review access at project close.
  • Physical documents and samples are stored at our studio and disposed of securely when their retention period ends.

No system is perfect. If a personal data breach affects you, we will notify you and the Data Protection Board of India in the manner and within the timelines the DPDP Act and its rules require, and tell you what happened, what was involved and what to do about it.

14

Your rights

As a Data Principal under the DPDP Act, 2023 you may exercise all of the following by writing to our Grievance Officer.

  • Access — a summary of the personal data we hold about you, how it is being processed, and who we have shared it with.
  • Correction and completion — correct anything inaccurate, complete anything partial, update anything out of date.
  • Erasure — have your data deleted once its purpose is served, unless a law requires us to keep it. This expressly includes survey photographs and video of your home.
  • Withdrawal of consent — withdraw consent as easily as you gave it, including permission to publish your project. Withdrawal is not retrospective.
  • Grievance redressal — raise a complaint and get an answer. We acknowledge within 7 working days and aim to resolve within 30 days.
  • Nomination — nominate someone to exercise these rights on your behalf in the event of death or incapacity.

We may verify your identity before acting, so that we do not hand your home to someone else. There is no charge.

If our answer does not satisfy you, you may escalate to the Data Protection Board of India under the DPDP Act.

15

Children & household

Our design process necessarily involves the whole household. When you tell us about a child’s study habits or a parent’s mobility needs, you are sharing another person’s information with us, and we rely on you to have the authority to do so. We use it only to design the space and never for marketing, profiling or advertising.

We do not knowingly collect personal data directly from anyone under 18, and we do not carry out tracking or targeted advertising directed at children. Children’s rooms are photographed only for design reference, and images of children are never published without verifiable consent from a parent or lawful guardian.

Domestic staff present during a survey are recorded only incidentally and never published. If you or anyone in your household wants a record removed, write to our Grievance Officer and we will delete it.

16

Third-party links

Our pages link to material and furniture suppliers, brand catalogues, our social channels including Instagram, WhatsApp and Telegram, and our real estate division. Some pages display imagery served from third-party image libraries.

Once you leave optiimusprime.com you are on someone else’s terms. We do not control those sites and are not responsible for their content or their privacy practices. Read their policies before you submit anything.

Visuals on this website — renders, moodboards and portfolio photographs — are illustrative. Materials, finishes and dimensions vary by project, and indicative pricing is not a quotation. Your own scope, specification and commercials are what the signed project documents say.

17

Changes to this policy

We review this policy periodically, and whenever our practices, our tools or the law change — including as the rules under the DPDP Act are notified and take effect.

The version in force is the one on this page, with its effective date at the top. Where a change materially affects data you have already given us, we will tell you directly before it takes effect and, where the law requires, ask for fresh consent.

18 — Grievance Officer

One name, one inbox, one answer

As required by the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000, we have designated a Grievance Officer to answer questions about this policy and to handle requests to access, correct, erase or stop processing your data — including taking your home down from our portfolio. Mark your message “Data Request — Interiors” so it reaches the right desk.
